Privacy policy
Effective October 20, 2026
River Flint LLC ("we" or "us") makes RaptorBooks, bookkeeping and accounting software for US small businesses. This policy explains what personal information we collect, how we use it, and the choices you have.
What this policy covers
This policy covers two websites and our mobile app:
- Our marketing website, where we describe RaptorBooks and its pricing.
- RaptorBooks itself, the accounting software you sign in to, on the web or in our mobile app.
Your business records. The books you keep in RaptorBooks include information about other people, such as your customers, your vendors, and the people on your bank transactions. You control that information, and we process it on your behalf to provide RaptorBooks to you. You are responsible for having the right to share it with us. Our handling of these records, including their use, sharing, security, and retention, is described in this policy.
Other services. Plaid, your bank, and Stripe have their own privacy policies governing how they handle information. This policy describes our practices.
What we collect
On our marketing website
- Information you send us, such as your name, email address, and message when you email us.
- Usage and device data, collected automatically, such as your IP address, browser and device type, general location, the pages you view, and the site you came from.
- Advertising data, such as ad click IDs, campaign tags, and whether your visit led to a signup.
In RaptorBooks
- Account data: your email address, an optional display name, and your password. Our sign-in provider stores passwords only in hashed form, and we never see them. If you choose to get sign-in codes by text message, we also collect your mobile number and use it only to send those codes.
- Bank data, through Plaid: information about the accounts you connect and their transaction history. Depending on your bank and the data available, this may include your bank's name; account names, types, masked account numbers, balances, credit limits, and currencies; and account owner names supplied with transactions. Transaction details may include dates, amounts, currencies, descriptions, merchant and other payment-party details, spending categories, transaction locations, payment methods and references, check numbers, and pending or posted status. We also receive identifiers for accounts, transactions, and connections so we can keep your bank feeds up to date. Depending on your bank, you authenticate directly with your bank or through Plaid. We never receive your bank login credentials. Plaid's End User Privacy Policy explains how Plaid handles your information.
- Books and records, such as journal entries, your chart of accounts, and transaction files you import.
- Receipts: images you upload and the details we read from them, such as the merchant, date, amounts, taxes and tips, payment method, and the last four digits of a card.
- Invoices and contacts: names, email addresses, phone numbers, postal addresses, and invoice details for your customers and vendors.
- Payments: if you accept online invoice payments, Stripe collects the information it needs to set you up, such as identity and payout bank details. Your customers' card details go directly to Stripe and never reach our servers; we receive payment status. See Stripe's privacy policy.
- People you invite, such as the email address of a teammate or accountant. Only share someone's contact details with their permission.
- Usage and log data, such as your IP address, browser and device type, and access times, plus an audit log of changes to your books (who changed what, and when).
- Messages you send us, such as support emails.
How we use it
- To provide RaptorBooks: syncing bank transactions, reading receipts, matching receipts to transactions, suggesting categories, creating invoices and reports, and running your account.
- To communicate with you: service announcements, security alerts, and support.
- To keep our services secure and to find and fix problems.
- To improve our services, including automated features such as receipt reading and matching.
- To advertise RaptorBooks and measure our ads, using marketing website data only.
- To comply with the law, enforce our terms, and protect our rights and the rights of others.
Your bank data. We use it to provide RaptorBooks to you and the people you share your books with, keep the service secure, and internally improve its bookkeeping features. This includes using transactions to investigate errors, test changes, and improve transaction matching and categorization. Access by our team is limited to people who need it for these purposes. We never sell your bank data or use it for advertising.
AI features. We use AI models to read receipts and help categorize transactions. Categories we are confident in may be posted automatically and are marked for your review. An entity's admin can turn off automatic posting in Settings. We use third-party AI and cloud service providers to process receipt images and transaction details for these features. These providers process information on our behalf and may retain and review inputs and outputs as needed to operate and secure their services, including preventing abuse. Their use of the information is limited to providing their services to us.
Cookies, analytics, and advertising
On our marketing website, we and our partners use cookies and similar technologies:
- Google Analytics, to understand how visitors use the marketing website.
- Google Ads, to measure which ads bring visitors and signups. We may also use it to show our ads to people who have visited the marketing website (remarketing).
- Vercel Analytics, to count visits. It does not use cookies.
Google and other third-party vendors use cookies to show ads based on your past visits to our marketing website and other websites. Learn how Google uses this information at policies.google.com/technologies/partner-sites.
In RaptorBooks, we use only the cookies needed to sign you in and keep you signed in. RaptorBooks has no advertising cookies, third-party analytics, or ad pixels.
Who we share it with
- Service providers that help us run our services, such as hosting, database and sign-in, file storage, AI processing, email and text messaging, and analytics providers. They may use the information only to provide their services to us.
- Plaid and Stripe, when you connect a bank or accept payments.
- Google and other advertising partners, for marketing website advertising and measurement.
- People you authorize, such as members you invite to an entity, who see its books according to the role you give them, and customers you send invoices to. Exports you download and share are under your control.
- Professional advisors, such as our lawyers, accountants, and insurers.
- Authorities or others, when we believe it is required by law or needed to protect rights, property, or safety.
- A buyer or successor in a merger, acquisition, financing, or sale of assets.
We do not sell personal information. We never share your bank, books, receipt, or invoice data with advertisers or use it for advertising.
How long we keep it
We keep personal information as long as we need it for the purposes in this policy. Your books stay available while your account is open, until you delete them, since you may need them for tax and legal purposes. When you disconnect a bank, we stop receiving new transactions and remove the connection with Plaid. Transactions already synced remain in RaptorBooks until you delete them or delete the bank account from RaptorBooks. When you close your account, we remove all of its bank connections.
When you delete data, including an entity or your account, we remove it from our active systems. Backup copies may persist after deletion from active systems. We may keep limited information where the law requires it, or to prevent fraud, keep our services secure, or resolve disputes. For example, we keep security records such as sign-in events, and if you worked in someone else's entity, its books keep the record of that work under an anonymized account.
Disconnecting a bank or deleting data from RaptorBooks does not itself delete data held by Plaid. Plaid's own retention practices and privacy controls are described in its End User Privacy Policy. You can also manage connections and request deletion of data held by Plaid through Plaid Portal.
If you accept payments, your Stripe account is held by Stripe under your agreement with them. Deleting your data from RaptorBooks doesn't close it.
Your choices
- Review and update your account and books by signing in to RaptorBooks.
- Disconnect a bank at any time on the Banking page. We stop syncing, remove the connection with Plaid, and delete its access token. You can keep transactions already synced, delete those transactions, or delete the bank account from RaptorBooks. Deleting it from RaptorBooks does not close your account at your bank.
- Delete content or an entity. You can delete receipts, invoices, and other content. An entity's admin can delete the whole entity in its Settings.
- Delete your account at any time on your Account page. Entities where you are the only member are deleted with it, and you are removed from the rest. You can also email us at support@raptorbooks.com.
- Cookies and ads: you can block or delete cookies in your browser, control Google ads at adssettings.google.com, opt out of many third-party ad cookies at optout.aboutads.info, and opt out of Google Analytics with Google's browser add-on.
- Do Not Track: our services do not currently respond to Do Not Track signals.
- Marketing email: unsubscribe using the link in any of our marketing emails.
Security
We use reasonable safeguards to protect personal information, including encrypting bank connection credentials and keeping receipt images in private, access-controlled storage. No system is completely secure, and we cannot guarantee the security of your information.
Children
Our services are for businesses and are not meant for anyone under 18. If you believe we have collected a child's information, contact us and we will delete it.
United States only
Our services are intended for users in the United States. We are based in the United States and use service providers that operate there.
Changes to this policy
We may update this policy by posting a new version here. If a change is material, we will also let RaptorBooks users know, for example by email or in RaptorBooks. Changes take effect when posted. Where additional consent is required to collect bank data or use it for a new purpose, we will obtain that consent before doing so. Posting an updated policy does not replace that consent.
